How to set up automatic inventory updates?

Most companies already have the data they need - it’s just sitting somewhere in an ERP, a Google Sheet, a storage folder, or a feed created for another platform. The truth is simple: if your system can export a file or generate a link, we can most likely automate your sync with Automa.Net.


Today, Automa.Net supports multiple data-loading methods, so you don’t need to change your internal workflow. You keep working the way you always have - and we adapt to you.


Below are the main options available, along with examples to help you imagine how they fit into your setup.

1. Automatic Connection via Google Sheets or OneDrive

If you manage your inventory in an online spreadsheet, you can connect it directly to Automa.Net for automatic updates.


How to set it up:


  1. Go to My Inventory → Online inventory link

  2. Select Automa.net Sheet V1 as the Source Format type

  3. Enter the name and URL of your Google Sheets or OneDrive file

  4. Set your preferred update schedule

Important:

Ensure your file uses the exact column order shown in our Example Inventory file.


Good for: companies with simple workflows, teams using shared spreadsheets, or anyone exporting from a tool into Google Sheets.

2. XML Feed Integration

Using Google Merchant Centre feeds and feeds generated by tools like Baselinker.com, Channable, DataFeedWatch, or WakeupData? We can automatically pull your inventory directly from your XML feed.


How to set it up:


  1. Go to My Inventory → Online inventory link

  2. Choose Merchant Centre Feed as the Source Format type

  3. Paste the XML feed URL

  4. Set your upload schedule

Good for: ecommerce teams, resellers, or distributors using structured feeds.

3. Automatic Export from Your ERP to FTP

If your ERP system can generate automated exports, you can connect it to our FTP to keep your inventory always up to date. 


How to set it up:


  1. Find your FTP credentials in My Inventory → Upload

  2. Ask your IT provider to configure automatic exports to your dedicated FTP folder

  3. If you'd like, send us the file first - we can verify everything is correct
    ([email protected])

Recommended frequency:

At least once per day

File requirements:
  • Accepted formats: CSV or XLSX

Must follow the same column order as our Example Inventory file


Good for: companies with IT teams, larger distributors, ERPs like SAP, Navision, Comarch, etc.

4. Do you have a different online link?

Any Other Online Link (CSV, XLSX, XML, JSON)
If you can give us a link that returns data, we can use it.


How it works:


  1. Send us the link
  2. We integrate it for you


Good for: nearly any custom or non-standard setup.
 

5. Email with attachment integration + Auto-Formatting

If you can send us files with your inventory regularly as an attachment to an email, we can upload them to our portal automatically for you. 

How it works:

  1. Email us about your case
  2. We create a custom flow for your inventory
  3. You set up emails to us with your inventory in the attachment
  4. We integrate for you
Recommended frequency: At least once per day
File requirements:
  • Accepted formats: CSVXLSX or XLS
    Good for: companies with simple workflows

    6. Google Drive + Auto-Formatting

    If your ERP can export automatically to Google Drive, or if, for some reason, it's easier for you to just "drop the file" in an online folder, we can connect it with our system.

    How it works:

    1. Email us about your case
    2. We create a custom Google Drive folder for your imports
    3. You connect your system to Google drive or you upload the file there yourself
    4. We integrate for you

        Recommended frequency: At least once per day
        File requirements:
        • Accepted formats: CSVXLSX or XLS
        Good for: companies with simple workflows
         

        USE CASES:


        1. “We use Baselinker”
        Baselinker already allows:

        • Daily automated Google Sheets export → direct sync with Automa.Net

        No extra work. No new tool. Just plug in what you already have.

        2. “We use Channable / DataFeedWatch / WakeupData”
        These tools already generate Google Merchant feeds or custom XML feeds.

        You can simply use one of those feeds as your Automa.Net inventory source.


        3. “Our ERP doesn’t have an API”
        But it probably has:

        • Scheduled CSV export
        • Email export
        • FTP export
        • Shared drive export (OneDrive/Google Drive)

        As long as it can push a file somewhere online, we can import it.

        4. “We keep a simple stock file in Excel”
        Upload it once into Google Sheets or OneDrive → instant automated sync.


        5. “We already have an XML feed for our website”
        That same feed can power Automa.Net updates with zero additional overhead.


        6. “We only have a custom link from IT”
        If the link returns CSV, XML, JSON, or XLSX, we can read it and create a scheduled import.


        7. “We have multiple locations with different systems”
        Each location can export in its own format -

        Automa.Net can merge, map, and unify the feeds.
