What is the Online Inventory Link feature?

The Online Inventory Link allows you to automatically import inventory data from external sources like Google Sheets, Microsoft SharePoint Excel, or XML feeds (such as Google Merchant Center).

This eliminates the need to upload CSV files manually.

With this feature, your product availability is always up to date – effortlessly.

Why should you use it?

How does it work?
  1. Paste a public link to your spreadsheet (Google Sheets, SharePoint Excel) or an XML file (e.g. Merchant Center Feed)

  2. Configure the sync schedule:

    • Every X hours

    • Once a day at a specific time (CET)

    • On selected weekdays (repeatedly or at a specific time)

  3. The system automatically pulls the file and updates your stock levels on Automa.Net

⚠️ Link access requirements

Make sure your file is publicly accessible - anyone with the link must be able to view it.Otherwise, the system won’t be able to retrieve your file, and your inventory won’t be updated.

Sync frequency options

You have full control over how often your inventory file is pulled. The following options are available:

  • Every X hours – e.g. every 1h, 5h, 10h

  • Once a day at a chosen time (CET) – e.g. daily at 09:00

  • On selected weekdays – e.g. Monday, Wednesday, Friday

    • For these days, you can choose either repeated sync (every X hours) or a specific time

How to generate a link from Google Sheets
  1. Open your spreadsheet in Google Sheets

  2. Click Share in the top-right corner

  3. Select: Anyone with the link → Viewer

  4. ⚠️ Important: Do not use the “Copy link” button in the Share popup. Instead, copy the URL from your browser’s address bar - this is the correct public link that the system can process.

  5. Paste this URL into the Inventory Source form on Automa.Net

How to generate a link from Microsoft SharePoint
  1. Open the Excel file hosted on SharePoint

  2. Click Share

  3. Select: Anyone with the link can view (or a similar option depending on your settings)

  4. Copy the link and make sure it ends with .xlsx or points directly to the file

  5. Paste it into the Inventory Source form on Automa.Net

If your Google Sheet or SharePoint Excel file includes columns like Manufacturer, MPN, or Quantity, make sure these headers match the required format-this ensures the file is processed correctly by the system.
